Keep condition and label status in different columns

A pair can be structurally sound while its label is unclear, damaged or unsupported. It can also carry a readable label and fail the condition grade. Do not combine these results into one pass/fail mark. Record pair condition first, then assign a label status based on the agreed evidence policy.

Write the label policy before sampling

Define which labels or marks are allowed, excluded or held for additional review. State what photographs are needed and which parts of the pair must be shown. A useful record can include the tongue or insole mark, size label, outsole, stitching and a full pair view. The exact evidence depends on the buyer's risk policy and should not be invented from the product title.

Do not promise a fixed brand mix unless current lot evidence and the order both state it. When proportions matter, record the sampled count by label group and the treatment of uncertain pairs. This prevents attractive examples from being mistaken for a shipment-wide ratio.

Keep original image files connected to the pair code and sampling date. Cropped label photographs without a complete pair view are difficult to reconcile later. The evidence set should allow a reviewer to move from the recorded mark back to the exact shoe, its mate and its condition result.

Inspect the shoe without relying on the brand name

Use the same structural discipline applied to unbranded footwear: match left and right, compare size marks, test closures, inspect upper panels and lining, flex the sole and review wear. The material fields list PU, PVC, EVA, TPR and rubber, while stretch fabric appears as an upper entry. These are possible constructions in the lot, not evidence tied to a particular label.

A Grade is recorded and one specification notes that it should be confirmed with the supplier. Translate the grade into visible limits. Brand recognition should never cause a damaged pair to bypass sole, heel, closure or interior checks.

Control size and style separately from labels

When a label group is held or removed, recalculate both the approved size curve and the style mix. The original gross sample is no longer the same as the accepted inventory.

Use neutral filenames and status values rather than writing an authenticity conclusion into the image name. Evidence can then be reviewed under a changed policy without renaming or losing the original record.

Preserve evidence through packing

Available bags range from 45 kg to 100 kg. Each unit should have a lot and bag code linked to the approved sample, label policy and size record. If evidence-approved and held pairs are separated, that status must remain visible on the outside label. Never mix held pairs back into accepted stock merely to reach a target weight.
